  1. NY StrolenCon Final Location

So we have been looking for somewhere to hold the Con near the city and the only thing we really found out is that all hotels are basically the same. We expect $500-$900 for the weekend depending on the location for 3 rooms. Now that we have rooms, where do we play? Maybe we get a suite, connected rooms, a conference room.  All those add up the price. Now we are looking at $900-$1300. And this is only for Thurs - Saturday night and everybody leaves Sunday afternoon by checkout time, maybe a couple hours late checkout is approved.
    So, here is another thought.

    http://www.cyberrentals.com/USA/New-York/vacation-house-Rosendale/p102821.htm

Less than 2 hours from NYC, this historic house is set on 6 private acres with woodland and landscaped gardens, a small vegetable garden and a fenced-in pool. Reminiscent of a Provencal house, the interior, still mostly in its original condition, is kept uncluttered; furnished with a mix of antiques and simple, comfortable furniture (Dutch owner is an interior designer). Renovated kitchen with lots of light and garden view. Terrace outside kitchen for outdoor eating. Very peaceful setting.

Five beds, four bedrooms, internet, 6 acres, fireplace, and a pool. Plenty of room for everybody to crash.

This particular one is $2100 for 7 days. If we can talk them down to 5 days (Thursday-Monday) for $1500 then we have ourselves a SWEET deal. This isn't the only available one, it is just the favorite that was found on our initial look.

The price is on the high end of getting a hotel but look at the benefits.

Food cost would be very minimal since we don't have to eat out every meal. BBQs, plenty of room to roam, we can be as loud and obnoxious as we want, LARP possibilities. Basic freedom from the confinement of the hotel/conference room.  It can be just like gaming at your best friend's house!

Muro is going to scout some more locations since he knows the area but I think this idea is a win-win.  It will be within 2hrs max of NYC so it will still be pretty easy to into the city if that is what you want to do. We will still spend that one day sightseeing for those that want to and then we can seclude ourselves in our country cottage for a weekend+ of gaming!

    Thoughts?

We will update the Favorite tag as we go.

Stone Ridge rental, charming house with land, bluestone patio, stone grill and porch. Adjacent to woods. Located between Woodstock and New Paltz, close to national parks, trails swimming, and the Mohonk House. New construction, hardwood and marble/slate floors, clean and flooded with light. It includes two skylights. One master bedroom and two other bedrooms, 2 baths, computer niche, game room. It can sleeps 8. Ping Pong table is available (optional). Artisan tile work. Nearly all new beds. Living room has high ceiling. Nice layout for entertaining (ramily events, receptions etc), and perfect acoustics for musician. Off quiet road, however, withing 6 minutes to town center and shopping. Adjacent to the historic village of Kripplebush where there is a local museum

$1400 for 7 days. Will see if we can get a 5 day price.

Cool outside firepit. Another great location.

We currently have 8-12 for sure or almost positives. For arguments sake, let us just count on 10 going.

They charge $200 a night for our current favorite. If there are only 4 of us there on Thursday night, then we split that and swallow $50 a person.  If there are 10 people there on Friday and Saturday night, then that is just $20 each for each of those nights. So it will be a sliding scale on costs to even it out depending on how many show up.

So, if you come for Friday-Sunday and there are 10 people, the room would cost you $40 for the weekend.

Food will be mostly provided but it is the hope that there will be plenty of donations to offset this cost.

The hope is to not break anybody and to make this as cheap as possible without hosing anybody.

Figure another $30+ for the Slaughtered Lamb night out.
Probably $50+ for the NYC sightseeing
A small chunk of change for food. Probably

A country house would also make it easier to, oh, say have Nerf gun wars.  You know, should the mood strike.

Ah, yes....nerf wars, water balloons, and super soakers....

I can go for that one. Country housing sounds great.

I wasn't originally planning on going, since I thought I wouldn't have the time/money to do so, since I just started a new job. However... in starting this new job, I moved, so I left my hometown of Holland, NY and have moved across the state to Shokan, NY, which is about 15 minutes away from Stone Ridge and currently a 2 minute side-jaunt from my commute back and forth to work. If you guys end up out this way, as opposed to being in the city itself, I will most likely be coming as well.

Anybody have a problem with calling this a consensus and booking a house in the country?

Strolen is spot on all counts.

Hotel is pricier, nastier, and more limiting.

Just the food alone! Every meal you’ll be spending money.

In the country, well be bbq-ing 6 tons of meat and chicken (and stuff) for about a grand total of $100 (all inclusive!!) for everybody (not each), for all days! I will cook for you people btw.  :P

    Moving on.

The logistics become SOOOOO easy. You arrive, we go to the house, we get there. The end. Then everybody frolics.

With hotels, I don’t have to tell you the pains involved, you already know.

Slaughtered Lamb- well, if you are not a big drinker, you can spend about $10-15 on a meal and be done. It is just a kitschy bar.

Sightseeing- mmm, could be $0, could be…a lot more. Up to you. It is free to just look! J But realistically, figure $40-50 or so for the day. (traveling around, snacks, souvenirs, whatever). Of course some may want to stay back at the big, nice, quiet house, and ponder nature instead that day. If so, $0!

So, to rehash what Strolen already said, it’s a win-win!

Let me know when to book it Danno!, and get that paypal thingy ready!

    Whee!  Book it, book it!

No objections here. Book the house!
  14. Re: NY StrolenCon Final Location

    #14
I say the house is the best idea. It'll be more comfortable than a conference room, more conducive to creative gaming.

If a kitchen is available Kamina and I will happily volunteer to make Jambalaya or Gumbo (or both) to keep the cost of food down...we've fed 15 people for less than $30 (both dishes).

    HOUSE RESERVED!!
  16. Re: NY StrolenCon Final Location

So let me understand this correctly...

We have rented out a place for Thursday, Friday, Saturday, Sunday, and Monday.

This place has three rooms and bed space for "eight" people (two people per bedroom and two for the futon). Then we have floor arrangements for everybody above 8 persons. By the look of the pictures, we could technically fit another 4 people per room, but more realistically, only 2 people per room on the floor. That totals out to about 6 people for the rooms, and maybe another 2 persons in the rec room. All accounted, we could pretty comfortably fit about 16 people without any problems.

The price is $200 per night for the entire hotel. For each night we stay, we will all collectively pay that $200, dividing the price among each person staying for that night. $50 for 4 people $20 for ten, and about $13 for all sixteen people.

Additional costs per person include about $20 for food, $50 for sightseeing, and the price of dinner and alchohol at a sit-down restaurant, "The Slaughtered Lamb".

Is all of that about right?

I think that is an accurate assessment.

Not 100% on the Monday rental too or if we can get a late checkout on Sunday.
  18. Re: NY StrolenCon Final Location

    #18
As of now we are looking at late Sunday checkout.

Also, you dont technically need $50 for sightseeing, what you spend while walking and looking around Manhattan depends on you. You dont have to spend a dime really that day..well, ok, maybe $20 is necessary (gas, food, etc).

Also, I am getting some new ideas on logistics, to reduce costs. Stay tuned. We might crash at my house (still thinking this out) and rent the house fri-sun, saving a few hundred bucks.

Nobody, the bottom line seems to be, fly over, bring about $150-200, and you will be A-OK! Strolen, and his humble servant (me) will be putting up a bit more to help out.

so, are you coming? If so, need to know when you are arriving (flight) and all that.

I will probably be there. I need to check some things first. In the meantime, can I get an address for this place. I scoured that site, but it never once listed the address.

  21. Re: NY StrolenCon Final Location

    #21
I have no idea what the address is, though I know exactly how to get there  :P

Nobody, the address is moot, since I will be picking you up at the airport and taking you there, so you dont have to spend $200 on a cab. Just let me know if your coming, and if so, which day, which airport, and what time...

Unless ofcourse you live nearby, and/or driving yourself, in which case we'll simply agree where to meet, and go from there.

If it helps, the house is 15 minutes off of the NY Thruway, Exit 18 New Paltz.
  22. Re: NY StrolenCon Final Location

    #22
I might decide to drive. It'll be a trek, but if the plane trip is too costly...So see if you can get an address for me.

With that said, what airport is closest? I need to know where I am going before I can get ticket rates.

The sooner you can find this all out, the better. But I guess that goes without saying.

  23. Re: NY StrolenCon Final Location

LaGuardia, JFK, or Newark airports, take your pick.

Your ticket will probably cost around $300, since that is what everyone else is reporting.

As far as address, I will try to get it from the house owner, but again, all you have to do is drive to Exit 18 on the NY Thruway...New Paltz, NY. Then its a 15 minute ride, along a maze of country back roads. So, we can simply pick a place to meet in New Paltz (its not a big town..one main road), such as the Gilded Otter Pub, and then you can follow me to the house...Or, I can give you the exact address, when I find it out.

Word of caution...despite the latest navigational technology, it may be easier for you to meet us in New Paltz (if you are driving)..the backroads are pretty confusing.

Either way, please let me know ASAP, if you're coming.

yes, but would you mind meeting us in New Paltz as I originally asked?

  29. Re: NY StrolenCon Final Location

    #29
btw Nobody, the address is purposely excluded on the site, as per owner's preferance. She in fact said that I dont get the exact address, until we meet and she gives me the keys and some contract or other to sign.

I have put down a down payment, but am still negotiating with the owner on rate for days and number of people. I dont want to be charged an extra $50 per day per extra person over 4.

Please refrain from sending any emails to said owner (Tracy). She's being difficult a bit...

    thank you.

dont worry, you'll have an exact address looooong before you start driving

Update: still unsure as to whether I can scrape together the cash to go or not. I'll see what I can do, but if nothing else, I'll try to UPS a few CDs/DVDs of my indie movie-clip thingie for door prizes.
